Set it up in Mailchimp

  1. Go to “Automations” → “Build from scratch”, name the flow, pick your audience and press “Choose a trigger”.
  2. Choose “Time since last purchased” and set it to 90 days. Optionally use “Filter who can enter this flow”, then “Save Trigger”.
  3. Add a “Send email” step with email 1, a “Time Delay” of 7 days, email 2, another 7-day “Time Delay”, and email 3.
  4. Press “Continue”, then “Turn flow on”.

“Time since last purchased” needs a connected e-commerce store, and it looks at purchases made after the flow is turned on.

If you use Square, Square by Mailchimp syncs your Square customers and orders (on any paid Mailchimp plan). Mailchimp's help pages don't say whether in-person Square orders start this trigger, and there's no Mailchimp help page for Toast.

Without store data, Mailchimp's help pages don't describe a win-back flow. Its older “Win back lapsed customers” automation is Classic only, for paid accounts that already made a Classic automation.

Set it up in Klaviyo

  1. Go to “Flows” → “Create Flow” → “Create From Scratch”.
  2. Choose the trigger: “All triggers” → Metric → “Placed Order”.
  3. Add the profile filter “Placed Order zero times since starting this flow” and “Save”: anyone who orders again leaves the flow.
  4. Add a time delay of 90 days, then email 1, a 7-day delay, email 2, another 7-day delay, and email 3. Klaviyo suggests no more than three emails.
  5. Set the emails to “Live”.

Toast and Square both sync “Placed Order” to Klaviyo. Toast syncs in-person orders only when the guest's details are on the order; Square syncs in-person orders every 30 minutes and makes a profile only when the guest shared an email or phone.

Without a POS connection: keep a last_visit date on each profile, build a segment where last_visit “is at least 90 days ago”, and start the flow with “Added to segment”, set to “Allow re-entry after a time period”. Klaviyo's docs don't say whether someone who qualifies only because time passed counts as newly added, so test it with one profile first.

What you need

In Mailchimp, flows are on paid plans: the Free plan lists Marketing Automation Flows as not included, and Essentials allows up to 4 flow steps (Mailchimp pricing, read 2026-10-22). Klaviyo's Free plan includes automations, for up to 250 active profiles and 500 email sends a month (Klaviyo pricing, read 2026-10-22).
